CODE OF CONDUCT
Ortolan is committed to operating its business in an ethical manner. This Supplier Code of Conduct (“Supplier Code”) was designed to demonstrate our expectations for our suppliers to operate responsibly.
We are committed to compliance with the law as well as cultivating respect for the environment and communities. We acknowledge that our suppliers operate in various regulatory and cultural environments.
Labour conditions and Human Rights
All workers have the right to be treated fairly and with dignity and respect and to work in a safe workspace. Suppliers are expected to comply with applicable labour law and regulations.
- Wages Slavery and child labour: Suppliers must comply with all legal and applicable human rights obligations including prevention of involuntary and underage labour, including reporting on modern slavery risks as required by legislation. Suppliers must ensure that all work is undertaken without coercion; not use any form of forced, bonded or indentured labour; and employ only workers who are the applicable minimum legal age.
- Working hours, wages, and benefits: Suppliers must follow all applicable laws and regulationswith respect to wages, working hours, benefits, leave, overtime, and insurance.
- Freedom of association and collective bargaining: Ortolan respects the rights of workers to freedom of association and collective bargaining across its operations and supply chain as applicable by law.
- Anti-discrimination: Suppliers will not discriminate against any worker based on religion, age, disability, ethnicity, gender, marital status, political affiliation, race, sexual orientation, gender identity or expression, medical condition, freedom of association, or any other status protected by law, in hiring and other employment practices.
- Anti-harassment: Suppliers will provide a workplace free from bullying, harassment, victimisation, abuse or any other forms of inhumane treatment. This includes, but not limited to, abuse and harassment which can be verbal, physical, sexual or psychological.
- Health and safety: Suppliers must comply with all applicable laws relating to workplace health and safety including, but not limited to, managing occupational health and safety hazards, and providing necessary job-related training and information
- Travel: Suppliers should confirm travel arrangements and expenses with Ortolan in writing before commencement. If an emergency or safety/security concern should occur whilst on business travel, the supplier should contact the respective Ortolan contact who will escalate or mitigate the occurrence where feasible.
Business Integrity
Suppliers are expected to maintain a management system that ensures compliance with applicable laws and regulations in the countries. Suppliers are expected to comply with all anti-bribery, anti-corruption, anti-money laundering and modern slavery laws.
- Risk assessment and management: Suppliers will maintain a process to identify, manage and control relevant operational risks. These include workforce labour and human rights, health and safety, corporate governance, and the environment.
- Critical incident management. Suppliers are expected to self-assess their compliance with the Supplier Code and take timely corrective action for any breaches. Suppliers are encouraged to raise any concerns or questions with the relevant Ortolan contact.
- Anti-bribery and corruption: Suppliers are expected to be ethical in their business activities. All forms of bribery, kickbacks, corruption, extortion, embezzlement and unethical practices are prohibited according to applicable laws and regulations.
- Record keeping and documentation: Suppliers are expected to maintain adequate records on financial transactions and corporate governance as applicable by local law. To ensure compliance with applicable laws, Suppliers are encouraged to conduct regular audits.
- Confidentiality: Suppliers must not improperly use any private, confidential or commercially sensitive Ortolan information. Suppliers cannot share any Ortolan Intellectual Property without express permission.
Environment and Procurement
Ortolan is committed to minimising environmental impact within its own operations as well as throughout its supply chain. We encourage our Suppliers to minimise their environmental impact where possible and are expected to adhere to environmentally responsible practices as applicable to local law and regulations.
Ortolan is committed to responsible procurement of materials that maximise benefits for communities and the environment. Suppliers must comply with all applicable laws and regulations relating to the procurement.
- Hazardous materials: Suppliers must ensure the safe storage, transportation and disposal of hazardous substances including hazardous waste as per applicable local laws and regulations.
- Packaging: Suppliers are encouraged to minimise the environmental impact of their packaging and printing materials
- Efficiency: Suppliers are encouraged to maintain operational policies for efficient use of energy, water, natural resource consumption, and that limit greenhouse gas emissions. Suppliers are encouraged to maintain operational policies that minimise biodiversity loss, deforestation, or damage to the natural environment.
- Traceability & Reporting: Suppliers are encouraged to measure and disclose its environmental impacts as well as set environmental targets to reduce environmental footprint. From time to time, Ortolan may request information from Suppliers to report on their Scope 3 GHG emissions. Suppliers are encouraged to provide this information where appropriate.
- Buy local: Suppliers are encouraged to “buy local” (as defined by “Buy Australia”) in the sourcing of their goods in order to minimise environmental impact.
- Buy diverse: Where possible, Suppliers are encouraged to “buy diverse” from organisations owned by, or that support, minority groups
- Travel: Where possible and productive, Suppliers are encouraged to conduct meetings virtually rather than in-person in order to limit the impact on the environment related to business travel
